About 100 years ago, my grandfather, who had worked for a bank, took over running a struggling manufacturer. Late in his life, he told me that the first thing he did was to put in place a proper accounting system, and said this made the biggest difference in turning this company around. It went on to become a highly successful, large company. That lesson stuck with me and years later I discovered Accounting as an adult college student. It must have been in my blood because I discovered and fell in love with Accounting, I know, that sounds sick!
Fast-forward almost 30 years. I built and sold a bookkeeping and payroll business in Erie, Pennsylvania and now own a bookkeeping and payroll business based in Vero Beach, Florida, helping small businesses with bookkeeping and payroll for the Treasure Coast and Space Coast exclusively using QuickBooks and MS Excel and a stand-alone payroll software. I do not do income taxes like most Accountants.
A good bookkeeping system makes the task of getting the tax return done easily, the CPA does not need to spend hours straightening out poorly done books or going through your “shoebox” of receipts. A CPA’s hourly rate can be the most expensive way to produce your financials. When they tell you what kind of a year you had, that’s a little late to take any corrective actions.
This then is the main benefit of good bookkeeping- to receive financials monthly which allows you to manage your business better informed. This is the number one job of the business owner- to manage the business. Your customers can pay faster if someone is keeping up on your receivables. Vendors give you better terms if they are paid properly on-time. Employees are happier when paid accurately and on time. Bankers require “interim” financials occasionally. You avoid IRS penalties when payroll taxes are remitted on-time. You are always aware of the correct bank bank balances.
